An Overview of Team Collaboration

An Overview of Team Collaboration
A GetFeedback account is tied to a specific person, with a specific login / email address. For example, you sign into GetFeedback with your unique email address and password, which provides you access to the surveys within your account.  However many GetFeedback users have asked, "How can I work together on survey projects with multiple people on my team, or multiple people across my company?"

The GetFeedback Terms and Conditions of use do not allow for the sharing of user credentials between multiple people for (a) security concerns that are validated by the policies of most corporate IT environments, and (b) the havoc that comes when multiple people are working within the same environment and stepping on each others toes.
Inspired by products such as Google Apps and Salesforce, today's collaborative business software allows multiple individuals within a team to work together to more effectively on projects while each maintaining their own separate login credentials and workspace.

Similarly, GetFeedback allows any user on the Salesforce or Enterprise plans to create a multi-user "team" with centralized administration, billing, and control settings.  It's quite simple to get started and here's how it works:

Adding Additional User Accounts (Team Members)

For GetFeedback users who are on the Enterprise, or Salesforce Plans, additional user accounts (team members) may be added by navigating to Account Settings > Team Settings.  From this screen you will see that you have the ability to add new user accounts to your team.

Note: If you are invoiced and do not pay with a credit card you'll need to contact sales@getfeedback.com to get set up with more team members.

The Impact of Adding User Accounts on Monthly Response Limits

When new user accounts are added as part of a team, the entire team then begins to use a pooled set of survey responses.  For each new team member added, the monthly response limits increase accordingly for the number of individuals added.  For example, the GetFeedback Enterprise Plan includes a limit of 10,000 responses/month for a single user account.  If the administrator then added 4 additional users for a total team of 5, the pooled response limit would be 10,000 responses/month X 5 team members = 50,000 pooled responses per month.  The number of used responses in any given month can always be seen by the team administrator by navigating to Account Settings > Plan and Payment

Team Sharing and Collaboration

Once additional user accounts are added to a team, GetFeedback provides a collaborative environment which allows for the seamless sharing of surveys across a team.  The structure of this environment is easy to understand, and works as follows:

Each survey has a distinct OWNER, which defaults to the person who creates the survey.  All surveys owned by you will be visible in the "My Surveys" section of the survey home view, which can always be accessed by clicking on the GetFeedback logo in the upper left portion of the screen.  An owner of a survey has full edit capabilities to the survey, and can change survey content, view survey responses, and edit Salesforce data mappings.

Survey owners then have the ability to SHARE a survey with other members of the team.  Surveys that are shared with you (but not owned by you) are visible in the survey home view under the heading "Shared with me."  Surveys that are shared with you (but not owned by you) cannot be edited, but allow you to view the survey content and all survey responses and summary reports.

Note: In order to allow someone to edit a survey on your team, they'll need to become an owner of the survey while editing it.

Below is a screenshot showing a survey being shared to another member of the team:

As with many important business initiatives, customer survey projects often involve multiple individuals who need to work together in a collaborative nature.  For example a customer survey project might include a business/content expert, survey/research expert, marketing/design expert, and an IT/Salesforce admin expert, each handling their respective portions of the project. If you are working on a survey project with multiple individuals, you have the ability to work on one survey, and transfer ownership from one person to the next.  In the survey share dialogue, simply select the "Is Owner" option to transfer ownership (and therefore full edit rights) from one user to another

Team Administration Settings

The user who originally added users to create the team becomes the Team Administrator.  Team Administrators have a unique group of settings at their disposal to manage the environment and are responsible for:

  • New user activation and de-activation
  • Controlling which users have access to Salesforce integration (Salesforce Plan only)
  • Controlling whitelabel settings for the team (Enterprise Plan)
  • Controlling custom URL settings for the team (Enterprise Plan)

For additional detail on all of the team administration settings noted above, please view the extended help article Team Administration Settings
